Overview

A department or a whole small school in one server, built so that a student only ever sees the classes they are enrolled in. Six subject categories, Mathematics, Science, English, History, Languages and Computing, are hidden from everyone by default and opened by a matching role: a Maths Student sees the MATHEMATICS category and nothing of SCIENCE. Each subject carries the same five channels so a teacher moving between subjects never has to relearn the layout: #maths-notices and #maths-classwork are read-only for students, #maths-questions is open, #maths-homework-drop lets students hand in work without reading each other's, and the Maths Class voice room hosts the live lesson. The shared SCHOOL NOTICES category holds #department-announcements, #term-calendar and #exam-timetable for everyone, and COMMON ROOM gives students #student-lounge, #study-buddies and #clubs-and-societies away from the parents. Parents have their own hidden PARENTS category with #parent-notices, #parent-questions, #parent-evening-bookings and a Parent Evening voice room, and cannot see any classroom. Teachers get a hidden TEACHERS ROOM with #lesson-planning, #cover-requests, #pastoral-notes and #marking-and-grades, and the head and deputy have a LEADERSHIP area above that.

When to use it

Your department has been running one Discord server per class and teachers are members of six servers, parents are in none, and the exam timetable has been posted in four places. This layout puts every class in one server without letting students wander into lessons they are not taking: a subject role opens exactly one category, parents get their own noticeboard, and the teachers' room is the one place staff talk across subjects.

What makes it different

  • Every subject category is hidden until a student holds that subject's role, so enrolment is a role, not a channel list.
  • Each subject has a homework drop where students post but cannot read history, so work stays between student and teacher.
  • Parents see SCHOOL NOTICES and their own PARENTS category only, never a classroom or the common room.
  • All six subject categories share one five-channel shape, so a teacher covering another subject is never lost.
  • TEACHERS ROOM and LEADERSHIP are two separate hidden tiers, so cover requests and timetable drafts do not mix.

Recommended Vetox setup

  • Self-Roles

Post a Self-Roles panel in #front-office for the six subject roles so students open their own classes without a teacher clicking through a list.

  • Applications

Use an Applications form linked from #front-office so parents request the Parent role with their child's name and a teacher approves it.

  • Reminders

Schedule Reminders in each #-notices channel the day before homework is due, and in #exam-timetable a week before each paper.

  • Logs

Send role and channel changes to #department-logs so the head can see who was given which subject role and when.

  • Auto-Mod

Turn on Auto-Mod across the COMMON ROOM channels, which are the only open rooms students share without a teacher watching.

Questions

How does a student get into their classes?

By holding the subject role: Maths Student opens MATHEMATICS, Science Student opens SCIENCE and so on. A teacher can assign the roles, or a Self-Roles panel in #front-office lets students pick their own if the school trusts them to.

Can a teacher see every subject?

Yes. The Teacher and Teaching Assistant roles are visible in all six subject categories, in PARENTS and in TEACHERS ROOM. Only LEADERSHIP is limited to Head of Department and Deputy Head.

What if we have fewer or more than six subjects?

Delete or duplicate a subject category and its student role. Keep the five-channel shape, notices, classwork, questions, homework drop and a class voice room, so every subject works the same way.

Why is the AFK room set to deny speaking?

Discord moves anyone idle in a voice room there after the timeout. Denying Speak means a student who leaves their microphone open in an empty lesson is not broadcasting into a room anyone can join.

Common mistakes

  • Giving every student every subject role on day one, which removes the whole point of hiding categories behind roles.
  • Letting parents into the common room, which stops students using it and moves the real conversation to a private group chat.
  • Adding a seventh subject with a different channel shape instead of copying the five-channel pattern.

Consider instead

  • Single Course Classroom You teach one course and do not need subject roles, parents or a leadership tier.
  • Language School The classes are levels of the same subject rather than different subjects.
