Overview
A server for the members of one coworking space, run by the space manager and a community host. It replaces the whiteboard by the kitchen and the group email that nobody reads. RECEPTION is read-only: #front-desk-welcome, #house-guidelines, #membership-verification and #building-notices, which only management and the front desk post to. MEMBERS LOUNGE is where Resident Members and Day Pass holders talk: #members-lounge, #today-in-the-space for who is in and where they are sitting, #wins-and-launches, #lunch-orders and #coffee-break. ROOM BOOKING gives every bookable room its own channel (#meeting-room-a, #meeting-room-b, #phone-booths, #event-space-booking) where a member posts their slot and the front desk confirms, plus #booking-changes for swaps. SKILLS EXCHANGE is a forum with tags for offering and seeking, alongside #feedback-requests, #collab-and-hiring and #office-hours-offers where a member gives an hour of their expertise. EVENTS AND WORKSHOPS carries a read-only #workshop-calendar and channels for #lunch-and-learn, #networking-nights and #demo-day-signups. BUILDING covers #maintenance-requests, #printer-and-wifi, #parcels-and-mail, #bike-and-parking and the #kitchen-rota. Six skill roles (Designer, Developer, Marketer, Founder, Writer, Consultant) are self-assigned and mentionable, so a member can ask the designers a question without knowing who they are yet.
When to use it
Members in the same room do not know each other's names, the meeting room gets double-booked twice a week, and the notice about the fire drill was an email nobody opened. This layout puts booking into a channel per room, gives members a lounge and a skills exchange so the developer at desk nine finds the designer at desk three, and makes building notices a read-only feed from the people who run the building.
What makes it different
- One channel per bookable room, where members post their slot and the front desk confirms.
- A skills exchange forum with offering and seeking tags, plus an office hours channel for giving an hour away.
- Building notices are read-only and posted by management and the front desk only.
- Skill roles are self-assigned and mentionable, so questions reach the right people.
- Day Pass holders see the lounge and building channels but not the members-only events and booking.
Recommended Vetox setup
Self-Roles
Post a Self-Roles panel in #your-skills-roles for Designer, Developer, Marketer, Founder, Writer and Consultant so the skills exchange has people to mention.
Applications
Verify membership in #membership-verification with a form asking for the name on the membership, and grant Resident Member from #membership-queue.
Reminders
Schedule a Reminder in #kitchen-rota every Friday afternoon and in #workshop-calendar the morning of each workshop.
Tickets
Open a Tickets panel in #maintenance-requests so a broken chair or a leaking tap becomes a tracked ticket for the front desk rather than a message that scrolls away.
Starboard
Run a Starboard from #wins-and-launches so the launches members cheer for get a permanent wall.
Questions
How does room booking work with just channels?
Each room has a channel. A member posts the day and time they want; the front desk reacts to confirm or replies with a clash. Because every room is its own channel, the day's bookings are readable top to bottom without a spreadsheet. Swaps and cancellations go in #booking-changes.
What is the difference between Resident Member and Day Pass?
Both see the lounge and building channels. Resident Members also see room booking, the events category and the skills exchange. Day Pass is for drop-ins who should be able to ask about the wifi without seeing the members' workshop schedule.
Do we need the skill roles if the space is small?
They cost nothing and they are what makes #skills-exchange work: a member can mention Designer and reach three people instead of asking the whole room. Remove the ones that do not describe anyone in your space.
Common mistakes
- Using one booking channel for every room, which makes double bookings inevitable; a channel per room is what makes the slot visible at a glance.
- Letting anyone post in #building-notices, so the fire drill notice ends up between a lunch order and a meme.
Consider instead
- Makerspace Community Your space is about tools and machines with safety certifications rather than desks and meeting rooms.
