Overview
Built for a two- or three-day conference with parallel tracks, whether the audience is in a venue, online, or both. Arrivals holds the read-only feeds an attendee needs on day one: #programme with the schedule by day and track, #happening-now where the crew posts what is on stage right now, #badge-pickup for the self-assigned track roles, and #travel-and-hotels. Each track (Engineering, Product, Design) is its own category with a stage channel for the talks, a slowmoded questions channel beside it so the speaker takes questions in order, a chat channel for reactions and a slides channel that only speakers and crew can post in; the keynote gets the same trio at the top. Workshops have two capped voice rooms and a sign-up channel. Sponsors get a directory and one booth channel per tier where only the sponsor posts, plus a private desk to talk to the organisers. Speakers have a hidden briefing, a lounge, a tech-check channel and a Green Room voice. The Crew Room is invisible to attendees: crew chat, a read-only run-of-show, the shift rota, an incident desk, Vetox logs and Crew Radio. The Hallway Track is where the actual conference happens: introductions, a hiring board, networking requests, dinner plans and coffee-corner voice rooms.
When to use it
You are running a conference with three parallel tracks and a keynote, forty speakers, a dozen sponsors and a crew of volunteers who need to talk without attendees reading over their shoulders. Attendees want to know what is on right now and where to ask a question; speakers want their slides and briefing in one place; sponsors want a booth they control. This layout gives each of those groups its own space and makes the schedule the first thing everyone sees.
What makes it different
- Every track has a stage, a slowmoded questions channel beside it, a chat channel and a speaker-only slides channel.
- #happening-now and #programme are crew-posted feeds, so the current session is always one click away.
- Sponsor booths are one channel per tier where only the sponsor posts; attendees read and react.
- The Crew Room, run-of-show and shift rota are hidden from attendees, speakers and sponsors.
- Self-assigned track roles let attendees follow the track they came for and get pinged for its sessions.
Recommended Vetox setup
Reminders
Schedule a Reminder in #happening-now ten minutes before every session so the current talk is announced without a crew member watching the clock.
Self-Roles
Post a Self-Roles panel in #badge-pickup for Engineering Track, Product Track and Design Track so attendees pick their track on arrival.
Applications
Take workshop sign-ups and speaker submissions through Applications in #workshop-signups, so the Crew Lead reviews them in one queue.
Tickets
Put a ticket panel in #attendee-faq so a lost badge or a broken stream link becomes a private thread with the crew, not a hallway shout.
Temp Voice
Point Temp Voice at Hallway Lounge so every corridor conversation gets its own room without adding permanent channels.
Questions
How do I add a fourth track?
Duplicate one track category: a stage, a questions channel, a chat channel and a slides channel with the same overwrites, then add a matching track role to the Self-Roles panel in #badge-pickup.
Can attendees ask questions during a talk?
Yes, in the questions channel beside each stage. It is slowmoded so questions arrive one at a time and the host reads them in order; the chat channel next to it is for reactions.
Why is there a sponsor desk hidden from attendees?
Sponsors need a place to sort out logo files, booth staffing and invoices with the organisers. That is not attendee reading, so #sponsor-desk is visible to the Sponsor and Crew Lead roles only.
What happens to the server after the conference?
Keep it open for a week for slides and follow-ups, then either archive the track categories for next year or take a backup and reset it. The Hallway Track can stay as the year-round community channel.
Common mistakes
- Using one voice channel for a session instead of a stage, which leaves two hundred attendees able to unmute over the speaker.
- Letting sponsors post in the hallway; keep them in their booths so the networking channels stay about the attendees.
Consider instead
- Webinar and Workshop Series The programme is one stage of sessions spread over weeks rather than parallel tracks on a few days.
