Overview
A server for a festival, fan convention or expo weekend where thousands of people need the same five answers at once. Info Desk is read-only: #venue-map, #daily-programme, #tickets-and-entry, #accessibility and #interest-badges for the self-assigned Cosplay, Tabletop, Card Games, Artist Alley and Live Music roles; #ask-the-info-desk is the one writable channel there. On Site Now is the live layer during the event: stewards post to #on-site-now, volunteers keep #queue-times current, #weather-and-safety carries closures, and #lost-and-found is open to everyone with slowmode. Main Stage and two Panel Rooms are stage channels with a slowmoded #panel-questions beside them and a #signings-and-photo-ops schedule. Meetups by Interest is where attendees find each other: a channel per interest, a #meetup-board forum tagged by interest and two Meetup Point voice rooms. Vendors get a directory, a #vendor-specials channel only they post in, and a private support channel for load-in and power questions. Volunteers, Operations (ops room, radio log, security and medical, press room, logs) and Guests (a green room and lounge) are each hidden from attendees. Food and After Hours covers food-court reviews, after-parties, ride shares and haul photos.
When to use it
On the first morning of a convention, everyone wants to know where the entrance queue is, when the signing starts and which hall the panel moved to, and a hundred people have lost something. Meanwhile vendors need power sorted, volunteers need their shifts and the press needs an embargo answered. This layout separates the read-only information attendees need from the live channels stewards and volunteers keep current, and hides the operational rooms behind roles.
What makes it different
- #on-site-now, #queue-times and #weather-and-safety are live feeds posted by stewards and volunteers during the event.
- Meetups by Interest pairs a channel per interest with a #meetup-board forum and two Meetup Point voice rooms.
- Vendors post their own specials in #vendor-specials and sort logistics in a support channel attendees never see.
- Volunteers, Operations, Press and Guests each have a hidden category with their own voice room.
- #lost-and-found is the one place attendees write in the live layer, with slowmode to keep it readable.
Recommended Vetox setup
Self-Roles
Post a Self-Roles panel in #interest-badges for Cosplay, Tabletop, Card Games, Artist Alley and Live Music so meetup pings reach the right people.
Tickets
Put a ticket panel in #help-point so lost property, access needs and medical questions become private threads with a steward.
Reminders
Schedule Reminders in #daily-programme for each day's opening, headline set and closing so the programme posts itself.
Temp Voice
Point Temp Voice at Con Floor Lounge so a cosplay group or a card game that fills a Meetup Point gets its own room.
Logs
Enable Logs into #ops-logs so the ops team can see joins, role changes and deleted messages during the busiest hours.
Questions
How do I handle a schedule change during the event?
Post the change in #on-site-now first, then edit #daily-programme so the pinned day view is correct. Stewards and volunteers have post rights in the live channels; attendees can only read them.
Do I need all five interest roles?
No. Keep the interests your event actually has and rename the channels in Meetups by Interest to match. The #meetup-board forum tags should mirror the roles you keep.
What is the press room for?
#press-room is visible to the Press and Ops Lead roles only, for accreditation, embargoes and interview requests. It keeps that traffic out of the ops room and away from attendees.
Common mistakes
- Letting attendees post in #daily-programme, which turns the schedule into a chat channel by the second morning.
- Putting vendors and attendees in one channel; vendors need a specials channel they control and a support channel attendees never read.
Consider instead
- Conference Server Your event is talks and tracks rather than halls, vendors and meetups.
