Overview
A tutoring service with a small team of tutors and a rotating set of learners, organised around the session rather than the class. The FRONT DESK is read-only: #center-announcements, #how-booking-works, #tutor-directory with a short bio per tutor and #hours-and-availability. Booking is a channel, not a spreadsheet: a learner posts in #book-a-session, the tutor confirms in #session-calendar, and changes go through #cancellations-and-reschedules so nothing is lost in a direct message. Between sessions learners ask in the five SUBJECT ROOMS, #math-room, #science-room, #writing-room, #languages-room and #test-prep-room, where any tutor who is around can answer. Sessions themselves happen in the WHITEBOARD ROOMS: Whiteboard 1 to 3 are capped at three people so a session is a tutor, a learner and at most a trainee sitting in, Group Session takes up to eight, and the Waiting Room denies speaking so a learner who arrives early sits quietly until the tutor moves them over. #homework-submissions lets a learner post work that only tutors can read, with #worked-examples and #practice-sheets alongside as read-only references. A Waitlist role sees the front desk and nothing else until a tutor onboards them. The hidden TUTOR ROOM keeps #learner-notes, #scheduling-conflicts and #training-materials away from learners.
When to use it
You tutor a dozen learners across three subjects and the bookings live in your direct messages, the homework arrives as photos in a group chat, and a new learner wandered into another learner's session. This layout gives booking its own channels, a capped whiteboard room per session with a silent waiting room, a homework channel where learners cannot see each other's work, and a tutor room for the notes you keep on each learner.
What makes it different
- Whiteboard 1 to 3 are three-seat voice rooms, so a session is never walked into by another learner.
- The Waiting Room denies speaking, so early arrivals wait quietly until a tutor moves them in.
- #homework-submissions lets learners post but not read history, so only tutors see the work.
- Booking, confirmation and changes have three separate channels instead of one direct-message thread.
- Waitlist sees the FRONT DESK only until a tutor onboards them into the subject rooms.
Recommended Vetox setup
Tickets
Put a ticket panel in #book-a-session so each booking is a private thread with the tutor, and #session-calendar stays a clean list of confirmed slots.
Reminders
Schedule a Reminder in #session-calendar an hour before each confirmed session so learners are in the Waiting Room on time.
Self-Roles
Post a Self-Roles panel in #front-desk for Math Help, Science Help, Writing Help and Test Prep so tutors can ping the right learners.
Auto Roles
Give Waitlist on join, so a new learner sees the FRONT DESK and nothing else until a tutor swaps it for Learner.
Temp Voice
Point Temp Voice at Whiteboard 1 so a fourth simultaneous session gets its own capped room without adding a permanent channel.
Questions
How does the Waiting Room work?
It is a voice room where Speak is denied for everyone but tutors. A learner joins it before their slot, the tutor sees them there and moves them into the whiteboard room when the previous session ends. Nobody overhears a session in progress.
Why are the whiteboard rooms capped at three?
A tutor, a learner and a Tutor Trainee sitting in to learn. The cap stops a second learner joining a session that is not theirs. Group Session, capped at eight, is for the small-group lessons.
Can learners see each other's homework?
No. #homework-submissions denies ReadMessageHistory for everyone except the tutor roles, so a learner can post their work and cannot scroll back through anyone else's. Feedback goes back in the next session or in a ticket.
Where do tutors keep notes on a learner?
In #learner-notes inside the hidden TUTOR ROOM, one thread per learner. It is the only place those notes should live, and learners cannot see the category.
Common mistakes
- Running sessions in one open voice room, so the next learner joins mid-session and hears another learner's work.
- Taking bookings by direct message, which is why #book-a-session, #session-calendar and #cancellations-and-reschedules are separate.
- Giving new joiners Learner immediately instead of Waitlist, so strangers can read the subject rooms before anyone has spoken to them.
Consider instead
- Single Course Classroom You teach one group on a fixed timetable rather than booked individual sessions.
- Exam Prep Academy Every learner is preparing for the same exam and you want cohort drills and mock tests instead of bookings.
