RAID SIGNUPS

Overview

For a guild that raids on a schedule in an MMO - World of Warcraft, Final Fantasy XIV, Guild Wars 2, Lost Ark or the next one - with more than one raid team and enough loot to argue about. The Guild Hall is read-only: #guild-news for kills and roster changes, #raid-schedule for the week, #recruitment-status for which roles are short, and #loot-rules so applicants know the deal before they apply. Raid Signups is hidden from social members and holds one signup channel per team (#signups-mythic, #signups-heroic, #signups-weekend), a strategy forum with a thread per boss, #pull-logs for log links after every night and #loot-requests so the Loot Council decides before the kill rather than after. Class Halls give tanks, healers, melee and ranged a room each plus a theorycrafting forum. Crafting and Bank turns requests into threads in #crafting-orders and makes the Guild Banker's #bank-ledger the audit trail of every withdrawal. Voice matches the roster: two thirty-seat raid rooms where Raid Leaders hold priority speaker, a Mythic Prog room only the Mythic Team can connect to, three five-seat dungeon rooms and a Guild Meeting stage. Officers, Raid Leaders, Class Leads and the Loot Council each have a room in the hidden Officers category, with #officer-room for officers alone.

When to use it

The guild has grown past one raid team. Signups for Mythic and Heroic are tangled in one channel, the bank has no record of who took the flasks, loot arguments happen in raid voice mid-pull and trials never get written feedback. This layout gives each team its own signup channel, each boss its own thread, the bank a ledger nobody can quietly edit, and the officers a place to decide loot and trials before the next raid night.

What makes it different

  • One signup channel per raid team, hidden from social members, so a Heroic confirm never lands in the Mythic list.
  • #raid-strats is a forum with a thread per boss and the current strategy pinned, not a scrolling text channel.
  • #bank-ledger is written by the Guild Banker and Officers only, so every withdrawal has a record.
  • Mythic Prog voice admits only the Mythic Team and raid staff; Raid Leaders hold priority speaker in the main rooms.
  • Officers, Raid Leaders, Class Leads and the Loot Council each get a hidden room scoped to their decisions.

Recommended Vetox setup

  • Applications

    Put an Applications form behind #apply-to-raid asking for class, role, logs and preferred team, so Officers review trials from one queue in #trial-reviews.

  • Self-Roles

    Post a Self-Roles panel in #role-pick for Tank, Healer, DPS and the three teams, so signup pings reach the right people.

  • Reminders

    Schedule a Reminder in each signups channel the day before the cutoff so tentative players commit or drop.

  • Logs

    Send role and moderation logs to #officer-logs so a trial's promotion or a bank-access change is on record.

  • Embed Messages

    Keep #loot-rules and #guild-charter as Embed Messages so Officers edit the rules in place instead of reposting a wall of text.

Questions

We only have one raid team. Do I need three signup channels?

No. Delete #signups-heroic and #signups-weekend and the matching team roles, or keep one as the alt-run channel. The rest of the layout - strategy threads per boss, the bank ledger, class halls - does not depend on the number of teams.

Why is the Raid Signups category hidden from the Social role?

So the signup lists show only people who can actually raid. Social members still see the schedule, the loot rules and recruitment status in the Guild Hall, and can apply in #apply-to-raid when they want a spot.

Who can write in #bank-ledger?

The Guild Banker and Officers. Everyone can read it, which is the point: a withdrawal nobody posted is a withdrawal you can ask about. Requests go in #bank-requests, donations in #material-donations.

Does this fit a game with a different class system, like jobs or professions?

Yes. Rename the four class halls to whatever your game groups people by - jobs, archetypes, weapon types - and adjust the tags on #theorycrafting. The signup and loot flow is game-agnostic.

Common mistakes

  • Running every team's signups in one channel, which is how a Heroic player ends up counted for a Mythic pull.
  • Giving bank access to every raider; without a ledger and a Banker role the bank is empty within a month.
  • Letting loot get decided in raid voice mid-pull instead of in #loot-requests before the boss dies.

Consider instead

  • Co-op Survival Crew you share one survival world with a small crew and have no raid roster or loot to manage
