Server structure

Overview

A small server for a group that meets on a schedule: a monthly board-game night, a weekly run club, a language exchange, a photography walk or a founders' breakfast. The layout resets every cycle. Next Meetup is read-only and holds three things: #about-the-group with the rules and the usual rhythm, #next-meetup where the co-organisers post the date, venue and plan, and #directions-and-parking; #rsvps is the one channel there members write in, with slowmode, so the headcount is a quick scroll. Between Meetups is the group's living room: #group-chat, #meetup-photos from the last one, #venue-and-topic-ideas for suggestions, #carpools and #newcomer-questions so a first-timer can ask what to bring without interrupting the regulars. Two voice rooms cover a pre-meet call and an online meetup for the months a venue falls through. Organisers have a hidden room with venue bookings, headcount and costs and their own call. Roles are deliberately few: Organiser, Co-Organiser, Regular for people who have shown up a few times, Member and Newcomer.

When to use it

Your meetup has moved from a group chat to something that needs a home: people keep asking where the next one is, RSVPs get lost between memes, and a newcomer does not know whether to bring anything. This layout puts the next meetup and the RSVP list at the top, keeps chat and photos below, and gives the two organisers a private room for bookings and money.

What makes it different

• #next-meetup is organiser-posted and read-only, so the date and venue are never buried under chat.
• #rsvps is slowmoded and separate from chat, which makes the headcount a ten-second scroll.
• #newcomer-questions gives first-timers a place to ask without feeling like they interrupted the regulars.
• Organisers get a hidden room with venue bookings, headcount and costs and their own voice call.

• Reminders

  Schedule a Reminder in #next-meetup a week before and the day before each meetup, with a pointer to #rsvps.

• Welcomer

  Enable Welcomer so a new member is greeted in #about-the-group with the next date and asked to say hi in #newcomer-questions.

• Leveling

  Use Leveling with Regular as a role reward at a level people reach after a few meetups; the role then means they have actually come along.

• Suggestions

  Turn on Suggestions in #venue-and-topic-ideas so venue and topic ideas get voted on instead of scrolling away.
