Overview
Built for a student-run club that competes under a university or college name. The Club Desk carries #club-announcements, #campus-events and #eligibility-notices, a read-only channel where the Faculty Advisor and officers post GPA checks, roster verification deadlines and league paperwork. Tryouts get their own category: #tryout-info, an Applications form in #tryout-signups, #tryout-results and a hidden #scouting-notes channel for coaches and captains. Varsity Teams holds one channel and one practice voice room per game, each unlocked by a game role, so the Valorant roster never scrolls the Overwatch channel. Practice & Competition is shared by every competing player: #practice-schedule and #match-calendar are written by coaches and captains, #vod-review is a forum with a tag per game, and #travel-and-logistics handles away matches and LAN trips. JV & Development gives the second roster its own chat, scrims and voice. Alumni keep a lounge and a #career-and-mentorship channel that varsity players can read, and Officers get a private room with #budget-and-funding and #club-logs. Members verify enrolment through a ticket in #student-verification before they see anything beyond the lounge.
When to use it
Your club has grown from a handful of friends into three competing rosters, a JV squad and a faculty advisor who needs eligibility paperwork done on time. One server with everything in the same chat means practice times get lost, tryout results leak early and alumni drift away. This layout separates the club's public life from each team's work and gives officers and the advisor a place to run the administration.
What makes it different
- #eligibility-notices is read-only and written by the advisor and officers, so paperwork deadlines are never missed.
- Each varsity game has its own channel and practice room unlocked by a game role, not one shared team chat.
- Tryouts run through an Applications form and results are posted by officers, with scouting notes hidden.
- JV & Development gives the second roster its own chat, scrims and voice separate from varsity.
- Alumni keep a lounge plus a #career-and-mentorship channel that current varsity players can read.
Recommended Vetox setup
Tickets
Verify enrolment through a ticket panel in #student-verification and hand out Club Member or Alumni from inside the ticket.
Applications
Run each game's tryout as an Applications form in #tryout-signups so coaches compare entries in one place.
Reminders
Post a Reminder in #practice-schedule before each practice block and in #eligibility-notices a week before every deadline.
Logs
Point Logs at #club-logs so officers see role changes when a semester turns over and half the roster graduates.
Embed Messages
Post the semester's practice schedule and league dates as Embed Messages in #practice-schedule and #match-calendar so they stay pinned and easy to edit.
Questions
How do students prove they are enrolled?
They open a ticket in #student-verification with whatever your club accepts - a student email, an ID photo with the number covered, or an enrolment letter. An officer grants Club Member and closes the ticket. Alumni use the same channel and get the Alumni role.
What is the Prospective Student role for?
Visitors from open days and recruitment fairs. They see the Club Desk and the Student Lounge, so they can read #campus-events and ask questions, but nothing about tryouts, teams or practice until they verify.
Our games are different from the four here. What do we change?
Rename the four game roles, the four team channels and the practice rooms to match. The overwrites follow the role, so nothing else changes. Delete a pair if you field fewer games.
Common mistakes
- Posting tryout results in the lounge before the coach has told the players who did not make it.
- Giving every varsity player every game role, which turns four focused team channels back into one noisy chat.
- Letting alumni keep the Varsity Player role after graduating, so old rosters keep reading current match plans.
Consider instead
- Amateur Esports Team Your club fields one roster with no advisor, JV squad or alumni to organise.
- Esports Coaching Academy You are teaching players for a fee rather than fielding them for a school.
