Overview

Built for a franchisor with a handful of locations that each need their own room, a head office that needs to reach all of them at once, and owners who need somewhere to talk to the director without the staff listening. HQ Bulletin is read-only: #hq-announcements, #brand-standards as the rules channel, #network-calendar, #compliance-alerts and #openings-and-milestones. Operations Manuals is a read-only library with #opening-and-closing, #service-standards, #equipment-and-maintenance and #pos-and-systems, a #manual-updates announcement channel, and #ask-operations as the one writable channel where a location asks about a procedure. Marketing Assets works the same way: #campaign-calendar and #asset-library are posted by HQ, while #local-marketing-ideas, #social-media-approvals and #print-requests take requests from the field. Every location, Downtown, Riverside, Airport, Westgate and Harbour, is a category visible only to its own role, the Field Manager and HQ Staff, with a chat, a shifts channel, an issues channel and a huddle voice room. Field Support holds #site-visit-reports and #audit-scores for the field managers. The Owners Council is visible to Franchise Owners and the HQ Director alone, with #royalty-and-fees and #council-motions; HQ Internal, with #franchise-sales-pipeline and #legal-and-contracts, is where head office works.

When to use it

Five locations, one group chat per location, and a head office that pastes the same message into all of them. A manager at Riverside cannot find last month's campaign assets, and the owners have no place to raise fees with the director. This layout gives every location a private category, head office one channel that reaches all of them, and the owners a council of their own.

What makes it different

  • The Owners Council is visible to Franchise Owners and the HQ Director only, not to HQ Staff.

Recommended Vetox setup

  • Auto Roles

    Give Crew on join so a new hire sees the bulletin and manuals; a Location Manager adds the location role that opens their category.

  • Reminders

    Schedule Reminders in #compliance-alerts for recurring deadlines and in each location's shifts channel, such as #downtown-shifts, for the weekly rota.

  • Tickets

    Put a ticket panel in #ask-operations so a question that involves one site's numbers becomes a private thread with HQ Staff.

  • Embed Messages

    Post the current campaign brief as an embed in #campaign-calendar so every location sees the same dates and assets.

  • Logs

    Send Logs to #hq-chat so location role changes are recorded; a crew member with the wrong location role reads another site's issues.

Questions

How do I add a sixth location?

Create a role for it, duplicate one of the location categories and replace the location role in the category overwrites. The four channels inside inherit the category's overwrites, so nothing else needs editing. Give the new role to that site's crew and manager.

Why can HQ Staff not see the Owners Council?

Franchise owners raise fees, royalties and disputes there, and they will only do it candidly if the audience is the director. The category grants ViewChannel to Franchise Owner only; the HQ Director role has Administrator. Add HQ Staff to the overwrites if your network prefers otherwise.

Where do location staff ask about a procedure?

#ask-operations, the one writable channel in Operations Manuals. The answer helps every location, so it stays public to the network; anything specific to one site's numbers goes through a ticket.

Can the Field Manager see every location?

Yes. Field Manager is granted ViewChannel on every location category, plus Field Support, where #site-visit-reports and #audit-scores are kept away from the locations themselves.

Common mistakes

  • Giving a Location Manager every location role for convenience, which lets them read every other site's issues channel.
  • Posting manual changes in #hq-announcements and never in #manual-updates, so the manual library falls out of date.
