Overview

Built for a restaurant, bar, café or hotel floor where the staff are on their phones between services and the noticeboard by the kitchen door is out of date. The Noticeboard category is read-only: #staff-noticeboard for announcements, #rota-and-shifts where the supervisor posts the week, #menu-updates where the Kitchen Lead posts specials and changes, and #86-board, where the kitchen and bar post what has run out the moment it runs out so the floor stops selling it. #shift-swaps is the one channel in that category everyone can write in. On Shift is the working area: #floor-chat, #kitchen-pass and #bar-chat for each side of the house, #incident-reports for the facts of anything that went wrong, and #maintenance-requests for the broken fridge. Training pairs a read-only #training-modules shelf with #allergen-and-hygiene and #trainee-questions, so a new starter has somewhere to ask. Two voice rooms cover the Pre-Shift Briefing and the Break Room. Management is hidden from every floor role: #staffing-and-hiring, #supplier-orders and the room where the General Manager, the Shift Supervisor and the Kitchen Lead talk about the people on the rota.

When to use it

The rota is a photo in a group chat, the specials change at four and the floor finds out at seven, and an incident from Saturday is three people's memory by Monday. This layout puts the rota, the menu and the 86 board where every shift can read them, gives incidents and maintenance a written trail, and keeps hiring and supplier conversations in a room the floor cannot see.

What makes it different

  • Rota and menu channels are read-only, so the current version is always the last message.
  • Shift swaps have their own writable channel inside the read-only noticeboard.

Questions

What is the 86 board?

Restaurant shorthand for an item that has run out. When the kitchen or bar posts an item in #86-board, front of house stops selling it. The channel is writable by Kitchen Team, Bar Team and the leads, read-only for everyone else, so it never fills with questions.

How do shift swaps work?

Post the shift you want to give away in #shift-swaps, a colleague replies to take it, and the Shift Supervisor confirms with a reaction. The supervisor then updates #rota-and-shifts, which is the version that counts.

Can trainees see the management channels?

No role below General Manager, Shift Supervisor and Kitchen Lead can. The Management category denies ViewChannel to @everyone and grants it back to those two roles only; the manager has Administrator.

Common mistakes

  • Letting the rota live in #floor-chat, where the current version is three screens up and two versions old.
  • Using #incident-reports for blame; it is for the facts, and the follow-up happens in Management.

Consider instead
